The appointment summary report is based on the bookings so that it can look forwards and backwards, to give different breakdowns of how the practice is doing, and what the future holds as far as expected bookings are concerned.
Breakdowns can be by Patient’s Payor, Type1, Type 2, Patient’s Provider, and Appointment Category. Each of these is for the time period chosen.
The report will show estimated cost, time and number of appointments.
To run the Appointment Summary Report:
From the ‘Administration’ menu, click ‘Reports’ and select ‘Appointment Summary Report’:
Leaving the 'Provider' field empty will print a ‘Chair Time Analysis’ report for the entire practice; however an individual provider can be selected from the list by using the button. Clicking the button will allow selection of appointments for a combination of providers.
In the 'Payor' field you can select any single payor, or (by using the button) all payors or a selection of payors. For appointments for private patients, select 'Private'. (This can also be used in conjunction with any other Payors).
The ‘From’ and ‘To’ date fields are used to define the date range for the report.
In the ‘Summary Level’ field, select "Daily", "Weekly", "Monthly" or "All" (totals for whole period) from the drop-down menu.
If you wish to list adults and children separately in the report, click in the checkbox.
The Group By field allows you to select if the results are to be grouped by choosing one of the following categories, or not grouped (by selecting 'None'):
If you need to make changes to the report layout, click the button.
Click to send the report to the printer, to preview on screen and then print from the ‘Preview’ screen, to send a copy of the report as an attachment, or ‘Cancel’ to return to the previous screen.
The example below shows a ‘Appointment Summary’ report for all Providers at the practice, for a selected period of time, with a 'Summary Level' of "All":
Note: Cancelled Hours is the total appointment hours left vacant by cancelled appointments. Failed Hours is the total appointment hours left vacant by failed appointments. The estimated fees for each of these are calculated based on the services booked for those appointments.
