EXACT version 11.3 or later is required for Utilisation Manager to be activated and functional with default settings.
Utilisation Manager comes with a default configuration, calculated on what most Practices would use, but only requires basic configuration of options (a simple procedure) if the default configuration does not suit the Practice.
Appropriate Security permissions are required to configure Short Notice List Settings (See Configure > Security).
The practice Email system must be configured for “Send/receive email immediately” to enable responsive, immediate communications.
EXACT must have SOE SMS enabled before the Appointment Book hover window will be visible to any users.
Receptionists need to understand how the configured Short Notice List settings will influence them. For example, they need to know if they will be prompted to add patient appointments to the Short Notice List, or if they must make these decisions independently.
Full automation communications are limited to practice business hours (set in Configure > Email parameters > Scheduled Send and Receive), except the first 30 minutes "stand down period" (this can be changed by the Support Desk). See Configuring time parameters for the Short Notice List
With full automation, EXACT only checks for appointment gaps every 15 minutes, allowing Receptionists to use the hold list and manually fill gaps in the interim, without the automation continuously appropriating those gaps from them. See Configuring time parameters for the Short Notice List
