Appointment Clinics and Short Notice List bookings

Overview

It is normal for dental practices to set up Clinics and reserve them for particular types of treatments. As part of the practice strategy you need to decide if and when these clinics are available to automated Short Notice List bookings.

The Appointment Clinics tab displays all of the practice clinics.

• From here you can specify any Clinics for which you do not want to fill gaps via the Short Notice List, and
• For the current day you can opt to override this restriction, allowing EXACT to book Short Notice List patients into the clinics. This typically would be when practice personnel realise that the reserved clinics are not going to be filled for the day, and therefore allow free-for-all booking into the clinics for the remainder of the day.

To restrict Appointment Clinics from Short Notice List bookings

1. Ensure that you have rights to configure the Short Notice List:

   Go to Configure > Security > [Choose Security Group] > scroll down to Configure > Short Notice List Settings and check (tick) the checkbox:

   

2. Go to Configure > Practice Settings, and in the Practice Settings window, ensure that the Enable Short Notice List field is enabled.
3. Click the Setup button to display the Short Notice List Settings window, then click the Appointment Clinics tab:

   

   By default, all of the Clinics are un-checked, and patients can book gaps for them.

   A checked clinic indicates to EXACT "never book appointments for this clinic" (for example, perhaps your Emergency clinic needs to remain free for walk-in emergency treatment).

   In the above example, only the Emergency Clinic is checked (in other words, you do not ever want patients to fill gaps for this clinic; you always want these times open for emergencies, regardless of the Short Notice Period).

4. Check those Clinics for which you do not want patients to fill gaps, and then click OK to confirm.

To open clinics for Short Notice List bookings for the current day

1. Go to Configure > Practice Settings, and in the Practice Settings window click the Setup button to display the Short Notice List Settings window, then click the Appointment Clinics tab:

   

2. Check (tick) the Ignore clinic restrictions on same day checkbox:

   

3. Select OK.

   For the remainder of the day EXACT will consider gaps in the clinics as valid gaps to fill with Short Notice List bookings.
