Checking Patient Records

When patients arrive after a long interval since their last visit, they may forget having a previous registration. It is prudent to check that the patient does not already have a record in the system before entering them as a New patient.

To check Patient Records

  1. Click the down arrow beside the Sort By… field and select the Last Name option if this is not already displayed.

  2. There are several ways to look through existing records to find a record. However, the easiest method is to enter the first three letters of the last name into the entry box, and click the list button, as in this example

  3. Click the list button on the toolbar to open the View Patients list.

  4. If a matching record is found, double click on it or click OK to load the details into the Patient File, so that you can complete the registration.

    NOTES:

    Not all records will necessarily be complete, as (depending on your setup of mandatory fields) only minimum details such as name and phone contact are usually required to make an initial appointment.

    Always check the address, phone number or age to verify whether the record displayed is that for the current patient.

  5. If no matching record is found, click on the +1 button to start a new record.
